Describe the opportunity without sending a raw export of your business systems.

Bring a short inventory
List the kinds of data your company holds, the systems or folders they live in and the years they cover. Give approximate counts if they are available.
Explain how the data is created and reviewed. Name the person who understands it and the person who can approve a licensing conversation.
Describe restrictions early
Explain whether the files contain personal details, confidential customer work or material supplied by another company. You do not need to send those files to describe the issue.
A first conversation should establish whether a more detailed review is worthwhile. Any later sample needs its own agreed scope and permissions.
Agree the next step
If there appears to be a fit, agree what information the buyer needs next and who will prepare it. Keep the request small enough to evaluate before committing to a full delivery.
